Feedback Process

The Clover School's Feedback Process

Step 1: Receipt & Acknowledgment

  • We will acknowledge all feedback within 2 business days using the individual’s preferred communication method.

  • We will confirm understanding of the feedback or complaint and outline the response timeline.

Step 2: Review & Investigation

  • We will forward the feedback to the relevant department or accessibility coordinator.

  • We will investigate the issue, consult with the feedback provider if clarification or further information is needed, always using their preferred format or communication support.

Step 3: Response

  • We will provide a comprehensive response within 10 business days, or sooner if possible.

  • The response will include:

    • Summary of the issue raised

    • Actions taken or planned to address it

    • Alternative supports offered, if applicable

    • Contact information for follow-up

  • If more time is required, we will notify the individual with the reason and revised timeline.

Step 4: Implementation & Follow-Up

  • We will implement agreed actions such as policy updates, physical accessibility improvements, or staff training.

  • We will confirm with the individual that the issue has been addressed satisfactorily.

  • We will document all actions and communication for accountability.

6. Public Notification of Feedback Process

The Clover School publicly informs all stakeholders about:

  • The availability of the feedback process through multiple accessible channels (website, service counters, newsletters, notice boards).

  • The availability of alternative formats and communication supports for the feedback process, free of charge, upon request.

7. Training

All Clover School staff are trained on:

  • Receiving and processing feedback respectfully and efficiently.
